Scope

These terms and conditions apply to the business meetings, appertaining peripheral arrangements and other services that Herke Djerf PerfektEvent AB (hereinafter referred to as PerfektEvent) sells to companies, organisations, associations and governmental bodies (hereinafter referred to as the Customer). Changes and additions to these terms and conditions apply only insofar as they are the subject of a written agreement.

Contractual relationship

The contract becomes binding when the Customer, orally or in writing (by e-mail, letter, etc.), accepts the event/arrangements presented and offered by PerfektEvent. Prior to the entering into of a contract, PerfektEvent is entitled to verify the Customer’s credit. Once the contract is entered into, the Customer is fully liable for payment in respect of the agreed event/arrangements. If the Customer chooses not to proceed with the event/arrangements, the cancellation rules below apply.

Payment for the event/arrangements

Payment for the event/arrangements shall be made on presentation of the invoice. This is presented on the entering into of the contract. Where there has been a booking fee or part payment, full cash payment for the event/arrangements shall have been made no later than six weeks before the event/arrangements in question.

Terms of payment

The terms of payment are 14 days net. Thereafter, interest on late payment applies as per the relevant regulations. At present, the reference rate is +8%. There is no invoicing fee on ordinary invoices. This remains true even where costs over and above those for the agreed event/arrangements accrue, e.g. consumed drinks that were not included in PerfektEvent’s quotation. Invoice reminders attract an administrative fee of SEK 250 per reminder.

Cancellation rules

(As set out immediately below, the Customer may cancel all or part of any event/arrangements.) Participants may cancel the event/arrangements as set out below.

(Total or partial cancellation on the withdrawal of more than 5% of the participants.) More than 5% of the participants

  1. If the cancellation is made more than 60 days before the event/arrangements, PerfektEvent is entitled to indemnification for all event/arrangements-related direct costs from suppliers and to an administrative indemnification of SEK 300 per person.
  2. If the cancellation is made less than 60 days, but at least 30 days, before the event/arrangements, participants shall pay 30% of the price of the event/arrangements if the direct costs and administrative indemnification of SEK 300 per person do not exceed 30% of the price of the event/arrangements, in which case payment shall be as per a) above.
  3. If cancellation is made less than 30 days, but at least 15 days, before the event/arrangements, the participants shall pay 50% of the price of the event/arrangements if the direct costs and administrative indemnification of SEK 300 per person do not exceed 50% of the price of the event/arrangements, in which case payment shall be as per a) above.
  4. If cancellation is made 14 days or less before the event/arrangements, the participants shall pay the full price as per the quotation.

(Partial cancellation on the withdrawal of less than 5% of the participants.) Less than 5% of the participants

  1. If cancellation is made more than 30 days before the event/arrangements, there are no fees.
  2. If cancellation occurs up to 30 days before the event/arrangements, PerfektEvent is entitled both to indemnification for direct expenditure and also to compensation amounting to 15% of the price of the event/arrangements.

If the event/arrangements include air transport, the cancellation rules of the airline concerned apply.

Booking alteration rules

Where a booking is altered, in addition to indemnification in respect of any expenditure, there is a processing fee of SEK 250 per participant/traveller and change.

Value added tax

By law, all events/arrangements are subject to value added tax of 25%.

Price adjustments

PerfektEvent is entitled to adjust both quoted and order-confirmed prices to take into account: additional or changed national taxes and fees; fuel supplements; alterations in exchange rates; and, increased flight and hotel prices.

Schedule adjustments

PerfektEvent is entitled to make adjustments to schedules and similar where said adjustments are attributable to circumstances outside PerfektEvent’s control.

Capacity/places

Until an order is confirmed, quotations from PerfektEvent are always conditional on capacity/places being available in/on hotels, flights and all other relevant parts of the event/arrangements.

Claims

PerfektEvent is liable only for significant defects and faults in the agreed event/arrangements and cannot be held liable for injuries to third parties or indirect damage resulting from defects or delays. The Customer shall submit a written claim as soon as possible after any defect or shortcoming has come to the Customer’s attention. In all cases, claims must be submitted within one week.

Other terms and conditions of the contract

For events/arrangements outside Sweden, the Customer is responsible for observing the formalities involved in the carrying out of the events/arrangements, e.g. passports, visas, vaccinations and insurance. Provided that incorrect information from PerfektEvent is not the cause of the problem, the Customer is responsible for all costs arising from any shortcomings in said formalities, e.g. return transport as a result of a passport irregularity.

For events/arrangements booked through another travel organiser, the travel terms and conditions of this latter apply. In all other respects, the general terms and conditions for package trips apply (as adopted by the Swedish Consumer Agency and the Swedish Travel and Tourist Industry Federation on 2 February 1993).
